How to Use Send Delays in Outlook
Delayed delivery in Outlook is an excellent tool for sending emails to people when they’re most likely to see them. You have a couple delivery options in the app that can delay your messages.
Delay Delivery of One Email
To delay a single email, take the following steps:
- Select âNew Emailâ or click âReply,â âReply All,â or âForwardâ for an existing email.
- Write your message and identify the recipients.
- Select the âOptionsâ tab at the top of the screen.
- Select âDelay Deliveryâ under the âMore Optionsâ section. The properties dialog box will pop up.
- Check âDo Not Deliver Beforeâ under the âDelivery optionsâ section and set the date and specified time for the email to send.
- Close the dialog box and click send.
You can view your delayed messages in the outbox folder once the process is complete.
If you need to edit the settings for your scheduled email, start by opening it from the Outbox folder. In the âOptionsâ tab, find the âDelay Deliveryâ button. Click the button to open the dialog box and make any edits needed. If you uncheck the âDo Not Deliver Beforeâ box, it will send immediately.
Delay Delivery of All Emails
Delay delivery options can apply to all emails. Follow these steps:
- Click âFileâ at the top left of the screen.
- Under Info > Rules and Alerts, select âManage Rules & Alerts.â
- Choose âNew Rule.â
- Select âApply rule on messages I sendâ under the âStart from a Blank Ruleâ section and click âNext.â
- In the âSelect conditionsâ list, make sure all boxes are unchecked, unless you have terms for your delayed emails. Click âNext.â
- Click âYesâ on the pop-up to confirm your rule.
- Under the âSelect actionsâ list, check âdefer delivery by a number of minutes.â
- Under âEdit the rule description,â select the blue highlight to edit the number of minutes.
- Enter the length of time you want to delay all emails in the dialog box. The maximum is 120 minutes. Select âNext.â
- Select any exceptions, and click âNext.â
- Create a name for your rule and check âTurn on this rule.â Select âFinish.â
When you want to stop delaying your emails, return to the rule settings and uncheck the âTurn on this ruleâ box.
