How to Use Send Delays in Outlook
Delayed delivery in Outlook is an excellent tool for sending emails to people when they’re most likely to see them. You have a couple delivery options in the app that can delay your messages.
Delay Delivery of One Email
To delay a single email, take the following steps:
- Select “New Email” or click “Reply,” “Reply All,” or “Forward” for an existing email.
- Write your message and identify the recipients.
- Select the “Options” tab at the top of the screen.
- Select “Delay Delivery” under the “More Options” section. The properties dialog box will pop up.
- Check “Do Not Deliver Before” under the “Delivery options” section and set the date and specified time for the email to send.
- Close the dialog box and click send.
You can view your delayed messages in the outbox folder once the process is complete.
If you need to edit the settings for your scheduled email, start by opening it from the Outbox folder. In the “Options” tab, find the “Delay Delivery” button. Click the button to open the dialog box and make any edits needed. If you uncheck the “Do Not Deliver Before” box, it will send immediately.
Delay Delivery of All Emails
Delay delivery options can apply to all emails. Follow these steps:
- Click “File” at the top left of the screen.
- Under Info > Rules and Alerts, select “Manage Rules & Alerts.”
- Choose “New Rule.”
- Select “Apply rule on messages I send” under the “Start from a Blank Rule” section and click “Next.”
- In the “Select conditions” list, make sure all boxes are unchecked, unless you have terms for your delayed emails. Click “Next.”
- Click “Yes” on the pop-up to confirm your rule.
- Under the “Select actions” list, check “defer delivery by a number of minutes.”
- Under “Edit the rule description,” select the blue highlight to edit the number of minutes.
- Enter the length of time you want to delay all emails in the dialog box. The maximum is 120 minutes. Select “Next.”
- Select any exceptions, and click “Next.”
- Create a name for your rule and check “Turn on this rule.” Select “Finish.”
When you want to stop delaying your emails, return to the rule settings and uncheck the “Turn on this rule” box.
