Syncing the files and folders in your Microsoft 365 or Microsoft SharePoint updates them with the latest information, so they’re always available on your computer — even when you’re offline. When you reconnect to the internet, OneDrive sync remembers your changes and synchronizes them automatically, providing you with the most updated files in SharePoint online or on your computer.

Syncing SharePoint with OneDrive

Syncing your files first requires turning on Files On-Demand in OneDrive. To do this, you must:

  1. Select the blue OneDrive cloud icon in the Windows notification area.
  2. Navigate to “Help and Settings,” then choose “Settings.”
  3. Choose “Save space and download files as you use them.”

To set up sync for your SharePoint library, you can:

  1. In your browser, navigate to the SharePoint file library you want to sync.
  2. Choose “Sync” in the toolbar.
  3. Log in to your OneDrive to finish the setup and start syncing your files.

Once synced, your SharePoint files will appear in File Explorer under your organization’s name. Each location will have a different sub-folder.

Syncing SharePoint to your local drive

Once you turn on Files On-Demand, you will see status icons beside your SharePoint files. You can copy or move these files from your computer right to SharePoint. This feature allows you to open a local file anytime, even without internet access.

To configure team site libraries to sync automatically, first go to “User Configuration.” Find “Policies” and click on “Administrative Templates.” Then, navigate to OneDrive.

Backing up SharePoint with OneDrive

To protect SharePoint folders and make them available on other devices, back them up on your Windows PC with a OneDrive PC folder backup. The first thing you need to do is ensure you have OneDrive set up on your computer. Then, follow these steps:

  1. In the “Help and Settings” section, choose “Settings.” Click “Backup,” then “Manage backup.”
  2. Select the folders you want to back up.
  3. Select the “Start backup” option.

You can close the dialog box while your files or folders sync with your OneDrive. To see your files sync in real time, select the “View upload progress” option. If you closed the dialog box previously, open the OneDrive activity center by choosing the blue or white cloud in the notification area.

When your files finish syncing with OneDrive, the backup is complete. You can access your files from anywhere on your computer. When you back up your desktop folder, the items on your desktop can roam with you to other PC desktops where you’re working from your personal OneDrive.
